Compare B2B quote revisions with AI before sending the new version
Build a line-by-line change register for approved quote versions, with pricing, scope and acceptance differences assigned to reviewers.
A clear change register helps reviewers see what changed without granting AI authority to approve the new quote.
Editorial workflow guide · AI-assisted preparation · Not a hands-on product test. How we work
Identify the two versions precisely
Start with the last buyer-facing quote and the proposed replacement. Record each document ID, version, issue date, currency, approval state and source location. Ask the quote owner which version is authoritative. Two files with similar names are not enough to establish an agreed baseline. Keep an accepted agreement outside this process unless the responsible commercial reviewer has defined the permitted comparison.
Use an approved AI workspace and only the minimum document content needed. Remove payment details, signatures and unrelated buyer information. The output is a review register, not a revised commercial offer. Keep sending, publishing and acceptance actions outside the model’s permissions.

Compare meaning as well as totals
Create rows for product identifiers, quantities, unit basis, recurring period, one-time fees, discounts, currency, scope exclusions, service dates, expiration and acceptance language. For each row show old value, proposed value, exact document location, reason supplied by the seller and reviewer. Flag missing pages or unreadable tables instead of completing them from context.
In a fictional subscription quote, the total stays similar while the billing basis changes from annual to monthly and a service allowance disappears. A total-only comparison would miss both differences. Have a person independently verify arithmetic and the intended commercial meaning. AI can overlook a change or align the wrong line items.
Resolve the register before release
Separate a cosmetic wording change from an unapproved commercial change. Route scope to the delivery owner, price to the commercial approver and contractual language to the designated reviewer. Record the decision against each material difference. An earlier discount approval should not silently authorize a different term length.
After corrections, compare the actual final export again against the identified baseline. Save the approved change register beside the released version and retire obsolete sending links through the normal controlled process. In a small pilot, count missed differences found by reviewers and unnecessary flags; speed alone does not establish a reliable review.
Review checklist
- Identify an authoritative baseline and proposed version.
- Check line identity, units, periods, currency and exclusions.
- Verify calculations independently.
- Assign every material change to an approver.
- Compare the final export before an authorized release.
Source context and limits
HubSpot documents quote management and distinct effective/expiration dates. This comparison register is our editorial method; it is not an automated quote approval feature or legal interpretation.
A prompt to adapt
Compare only these two approved quote extracts. Return field, old value, new value, page/line evidence, commercial question and reviewer. Mark unreadable or missing information unknown. Do not approve terms, rewrite prices, publish, send or accept anything.
Use fictional or anonymized examples while testing. Add your approved business rules before using a draft.Source documents
