Catch unit and billing-period mismatches in a sales quote with AI

Normalize seats, locations, setup fees and recurring charges before approving a B2B quote total.

THE PRACTICAL TAKEAWAY

A correct multiplication can still price the wrong unit.

Editorial workflow guide · AI-assisted preparation · Not a hands-on product test. How we work

Separate the commercial units before calculating

Start with one draft quote, the approved catalog, the buyer’s requested scope and the pricing rules that apply to this deal. Capture product ID, quantity, quantity unit, currency, billing interval, contract duration and whether the charge repeats. Keep a one-time installation fee on its own row. An amount called annual total is ambiguous until you know what it includes.

Ask AI to extract a proposed line-item table with a source reference beside every value. Do not let it translate ten sites into ten users or convert monthly pricing into an annual commitment without an approved rule. Mark those fields unresolved. Use your spreadsheet or quoting system for the arithmetic after the units have been checked.

Work a quote that appears to add up

Consider a fictional offer with twelve users at an assumed $30 per user per month and a $600 one-time setup fee. The recurring monthly amount is $360. Twelve full months plus setup would be $4,920 before taxes, discounts or other charges. The recurring annual component alone is $4,320. These are illustrative inputs, not vendor prices.

If the buyer actually requested twelve locations with three users at each, the original calculation answers the wrong question. The reviewer needs to confirm thirty-six users and the applicable pricing rule before preparing a revised quote. A model should flag the discrepancy, not quietly substitute its preferred interpretation. Likewise, a discount for annual prepayment needs an approved definition of which charges qualify.

Test boundaries instead of trusting a neat total

Include a quantity that crosses a pricing tier, a partial period and a line with missing currency. For each case, record what the approved pricing rules allow. Distinguish a volume rule applying one rate to all units from a graduated rule applying rates to separate bands. Do not choose a rule from the wording bulk discount alone.

Have a commercial owner check the normalized table, then independently recalculate the amounts. Preserve the original extracted values alongside any correction. If your pricing tool rounds at line level, compare against that behavior rather than a separate grand-total rounding assumption. Leave taxes, proration and exchange-rate decisions to your approved rules and responsible specialists.

Produce a useful approval packet

The finished output is a line table plus a short exception list: missing unit, conflicting scope, unknown interval, unsupported discount or unresolved tier rule. Attach the corrected quote only after an authorized reviewer approves it. Keep the customer-facing explanation separate from internal margin or exception notes.

HubSpot documents a product library and distinguishes flat, volume, graduated and stair-step pricing, with additional subscription requirements for tiered pricing. That documentation supports the distinctions; this normalization process is our proposed workflow. It is not a tested quoting integration. Start with five varied quotes and record which discrepancies a human confirms before expanding the process.

A prompt to adapt

Extract this draft quote into rows: source reference, SKU, quantity, unit, unit price, currency, billing interval, term, one-time/recurring and pricing rule. Compare against the approved scope and catalog. Show missing or conflicting units before any totals. Use only supplied conversion and discount rules. Return an exception list for the commercial owner; do not approve or send the quote.

Use fictional or anonymized examples while testing. Add your approved business rules before using a draft.
