Use AI to prepare an expiry review for sales documents and quotes

Inventory dated quote references and sales collateral, route uncertain validity to owners, and prevent old material from entering new drafts.

THE PRACTICAL TAKEAWAY

Document availability does not establish that its pricing, claims or sending permissions remain current.

Editorial workflow guide · AI-assisted preparation · Not a hands-on product test. How we work

Create a document inventory with owners

Start with the approved sales library and quote register, rather than asking AI to search every shared folder. Inventory document ID, version, topic, intended audience, owner, approval date, explicit expiration date and replacement link. Include references embedded in templates and saved snippets. A deleted file may still be referenced by an older email template.

Keep document validity separate from customer activity. A buyer opening an old proposal does not make its terms current. The reviewer should identify which records are approved for reuse, which require a decision and which are retained only as historical evidence. Do not delete material as part of the inventory task.

Distinguish expired, stale and unknown

Use expired only when an authoritative record supplies an explicit date and the owner confirms its meaning. Use needs review when the document lacks an owner, cites an outdated edition or conflicts with the approved claims library. Use unknown when evidence is missing. A model should not manufacture a standard expiration period.

In a fictional sales library, an undated presentation promises a feature that is absent from the current product sheet. Flag the conflicting claim and route it to the product owner. Do not silently update the slide, invent availability or infer that the old presentation was fraudulent. The goal is a reviewable inventory with precise evidence.

Resolve reuse decisions and dependent templates

Have each owner approve retain, replace, restrict or retire through the normal library process. Record the decision date, approved replacement and affected templates. An expired quote may still be an important account record, so stopping reuse and deleting history are separate actions with different authority.

Check a sample of actual new drafts after the library update. Verify that obsolete attachments and links no longer appear and that approved replacements match the intended audience. Track unresolved high-impact references and review coverage. A lower document count is not proof that the remaining material is accurate; preserve enough evidence for someone to understand why each decision was made.

Review checklist

  • Inventory versions, owners and dependent templates.
  • Use explicit dates rather than invented shelf lives.
  • Distinguish expiry from a general review flag.
  • Preserve historical records under the approved policy.
  • Verify replacement references in actual drafts.

Source context and limits

HubSpot documents quote expiration visibility. The collateral inventory and review labels are our editorial extension; quote status should be checked in the actual product and commercial record.

A prompt to adapt

Prepare a review queue from this permitted document inventory: ID, version, owner, explicit validity evidence, conflict, dependent template, recommended review and missing information. Do not infer expiration dates, alter agreements, delete records or send replacements.

Use fictional or anonymized examples while testing. Add your approved business rules before using a draft.
