Outreach & follow-up
Build an AI proposal follow-up queue that stops when buyers reply
Organize open proposals by owner, buyer question, approved version, and next action before drafting reminders.
A proposal needs an owner and a next step before it needs another automated message.
Editorial workflow guide · AI-assisted preparation · Not a hands-on product test. How we work
Clean the queue first
Export a small set of open proposals with opportunity ID, owner, current version, sent date, last meaningful conversation, and agreed next step. Separate active decisions from expired quotes, closed projects, disputes, and opportunities already handled by another rep.
Ask AI to flag missing next actions and summarize documented questions. Do not ask it to decide that silence means rejection or consent to more outreach. The account owner should review the queue before any draft is prepared.

Draft against the buyer’s actual question
Use the latest approved proposal and notes to address one unresolved issue. If the buyer asked about implementation timing, the draft should answer from approved availability or ask to arrange a discussion. A generic checking-in message does little to move a complex decision.
Keep pricing exceptions, discounts, delivery promises, and contract terms out of the generated draft unless they appear in the approved source. Link the exact proposal version. When the buyer’s question cannot be answered from the record, create an internal task instead of a confident email.
Give every sequence an exit
Stop draft reminders when the buyer replies, the deal closes, a dispute begins, or a rep records a different next step. Recheck eligibility immediately before sending. A message queued yesterday may be inappropriate after a conversation this morning.
Run the first pilot as a review queue rather than an automatic sender. Track the proportion of proposals with a scheduled next action, reply quality, corrections, and rep review time. Compare similar proposal types and avoid attributing all changed win rates to AI.
Minimum follow-up fields
- Opportunity ID and assigned account owner.
- Current proposal link and validity date.
- Buyer’s documented unresolved question.
- Next action, due date, and communication preference.
- A clear stop condition and record of the reviewed message.
A prompt to adapt
Turn these anonymized proposal records into a review queue. Identify owner, current version, buyer question, next action, due date, and exclusion reason. Draft a follow-up only where sufficient approved facts exist. Do not invent prices, deadlines, or buyer intent.
Use fictional or anonymized examples while testing. Add your approved business rules before using a draft.Questions or corrections?
