Check a sales quote’s installment schedule with AI before release
Reconcile installment amounts, percentages and due-date triggers against approved commercial terms.
A payment schedule needs a complete total and a clear trigger for every installment.
Editorial workflow guide · AI-assisted preparation · Not a hands-on product test. How we work
Use approved terms as the starting point
Collect the approved quote version, its payable total, currency, proposed installments and the exact wording of every due trigger. Separate a fixed calendar date from a milestone such as completion of training. AI can organize the schedule, but should not decide whether a milestone has occurred or invent a payment term.
Ask finance or the commercial owner what the percentages apply to: the full total, a subtotal excluding specified charges or another approved basis. Keep tax, credits and deposit treatment explicit. A schedule that adds to one hundred percent can still be wrong if different rows use different bases.

Reconcile a three-installment example
A fictional approved project total is $12,000, payable 30% at acceptance, 40% at a defined delivery milestone and 30% at final approval. The corresponding amounts are $3,600, $4,800 and $3,600, totaling $12,000. These are illustrative terms, not a recommended collection policy.
If a draft instead says $3,600, $4,800 and $3,500, identify the $100 shortfall as an exception. Do not quietly add it to the last row. If delivery is undefined, the second installment needs an approved trigger description and an owner who records the event. A tentative project date should not silently replace that trigger.
Distinguish a displayed schedule from automated collection
HubSpot’s legacy quote documentation describes amount- or percentage-based installments and date or milestone descriptions. It states that future installments produce draft invoices in the described payment flow; those invoices are not automatically sent and future payments are not automated. The documented schedule also excludes certain recurring or future-start configurations.
That reference concerns legacy quotes, not every Revenue Hub quote configuration. Confirm the actual tool, eligibility and payment process before promising a customer automatic billing. A table on a quote does not establish that a future charge will happen, or authorize saving a payment method. Keep the proposed schedule separate from any action to collect money.
Prepare the review and the operational handoff
Return installment name, approved basis, percentage, amount, trigger, due-date rule, invoice owner and evidence of approval. Include the arithmetic check and a separate exception list. Check whether a changed quote total requires every installment to be recomputed before publication.
Rehearse with a changed subtotal, a missing final installment, an unresolved milestone and a draft invoice that still needs review. The packet passes when someone can explain both the amount and the next operational action for every row. This is an editorial quote-preparation method, not a tested billing setup, financing recommendation or determination that a payment is legally due.
A prompt to adapt
Compare this proposed installment schedule with the approved quote and payment terms. Show the percentage basis, amounts, sum, unresolved due triggers and responsible owners. Flag differences without correcting them silently. Do not accept terms, issue invoices, charge a customer or treat a displayed schedule as automated collection.
