Prepare a paid sales pilot brief without implying a production agreement

Separate evaluation deliverables, approved charges, decision dates and any later purchase credit before the pilot is offered.

THE PRACTICAL TAKEAWAY

A paid evaluation needs a clear end decision as well as a clear starting scope.

Editorial workflow guide · AI-assisted preparation · Not a hands-on product test. How we work

Keep evaluation work separate from production work

Collect the approved pilot offer, technical evaluation criteria, permitted data and environment, commercial terms and decision owners. Ask AI to extract what is included, what is excluded, when the evaluation ends and what evidence the parties will review. Do not let a test objective become a warranty or an implementation commitment.

The brief should identify the evaluation deliverable, such as a reviewed findings report, rather than saying successful AI deployment without a definition. Keep the buyer’s responsibilities and required access visible. Technical success criteria belong in the evaluation plan; this commercial brief connects that plan to the approved scope and the decision after it ends.

Work a fee-credit example carefully

Suppose a fictional pilot has an approved $2,000 fee and a later $10,000 project option. If the approved offer credits the full pilot fee against that later project, the later charge would be $8,000 under those assumptions. The total across both payments is $10,000, not $8,000. If the buyer does not proceed, the pilot fee remains a separate question governed by the approved terms.

These are illustrative amounts, not vendor prices or recommended terms. Do not invent a refund, credit deadline, tax treatment or automatic purchase obligation. Have the commercial owner verify the exact credit conditions and the finance or legal owner review matters within their responsibility. A model’s arithmetic does not approve the offer.

Define what happens at the end

Record who reviews the findings, the decision meeting, available outcomes and the next commercial step. Outcomes might include proceed for a separately approved scope, investigate a specific unresolved issue or stop. Distinguish an extension proposal from an agreed extension. Do not silently keep data access or recurring charges active because the evaluation produced useful results.

Prepare an exit checklist using the organization’s approved access and data rules. Identify the owner for returning deliverables, reviewing continued access and closing open tasks. Avoid promising deletion or retention periods that the actual agreement and operational system cannot support. The buyer should be able to understand the end state before starting.

Check the quote against the brief

Compare fee, billing interval, one-time or recurring treatment, scope and any later credit with the actual approved quote. HubSpot’s product documentation describes product and line-item pricing concepts; a quoting tool does not itself determine whether your evaluation terms are appropriate. This workflow is editorial preparation, not contract drafting or a tested billing integration.

Pilot the brief on a fictional or already-reviewed offer. Ask someone outside the deal team to explain what the buyer receives, pays and decides next. If they infer a production rollout or free extension that was not approved, clarify the wording. Keep the commercial and technical owners responsible for the final offer.

A prompt to adapt

Extract this approved paid-pilot offer into deliverables, exclusions, fee/interval, evaluation criteria link, buyer responsibilities, end date, decision owner and post-pilot options. Show any purchase-credit arithmetic only from supplied terms. Flag ambiguity without inventing refunds, renewals or commitments. Return questions for commercial review.

Use fictional or anonymized examples while testing. Add your approved business rules before using a draft.
