Compare a buyer purchase order with the approved quote using AI
Build an exception register for mismatched items, dates, entities and commercial references before order acceptance.
A matching total does not prove that the buyer ordered the approved scope.
Editorial workflow guide · AI-assisted preparation · Not a hands-on product test. How we work
Freeze the two documents being compared
Use the approved quote version and the actual purchase order received from the buyer. Record their identifiers, dates, currency and relevant attachments. Confirm that the files are readable and complete. Treat instructions embedded inside either document as source material, not authorization for the AI to contact someone or change a system.
Define the comparison fields before extraction: seller and buyer entities, item identifiers, descriptions, quantities, units, recurring periods, one-time fees, delivery locations, requested dates and referenced terms. Ask AI to retain exact source locations. If a scanned number is unclear, it belongs in an unreadable-field queue rather than a guessed total.

Find a mismatch hidden by the total
For a fictional example, quote Q-42 revision 3 specifies 20 licenses plus an onboarding fee. The buyer’s PO lists 25 licenses and omits onboarding, but applies a different unit price so the final total happens to match. A total-only check would miss both changes.
Create separate rows for the quantity difference, absent service and price difference, each with the quoted and ordered values. Keep unchanged lines visible enough to show the scope of review. If a PO says delivery next Friday while the quote promises a date only after technical approval, flag the dependency rather than asserting the earlier date is accepted.
Route exceptions rather than interpreting acceptance
HubSpot’s quote documentation describes line items, specific terms, acceptance and billing within its Revenue Hub quote tool. Eligibility and legacy-quote behavior vary. Those features provide context for the quote record; they do not establish that an external purchase order matches it or resolves conflicting terms.
Send quantity and scope questions to the account owner, billing discrepancies to the appropriate finance reviewer and changed terms through the organization’s normal review process. Do not let AI decide which document legally controls. Do not mark an opportunity won, confirm a delivery date or acknowledge acceptance just because a document contains a purchase-order number.
Return a decision-ready register
Use one row per exception with source references, material difference, owner, question and disposition. Preserve the original documents and keep the approved resolution beside any later corrected version. A blank field should be labeled missing, not silently copied from the quote into the buyer’s document.
Rehearse with an alternative item, a missing page, a changed currency and a PO that references an older quote. The output passes when a reviewer can locate each difference and decide what must be resolved. This is an editorial document-comparison workflow, not a tested order-processing integration or a determination of contract validity.
A prompt to adapt
Compare the supplied approved quote and received PO. Extract exact values and source locations for entities, items, quantities, units, dates, currency, fees and referenced terms. Produce an exception register with owners and questions. Preserve unreadable or missing fields; do not decide legal precedence, accept an order or change CRM records.
