Outreach & follow-up
Draft B2B prospecting emails without fake personalization
Build a short, evidence-based message around a relevant business question instead of invented familiarity.
Use verified context and one modest next step; keep the rep responsible for the message.
Editorial workflow guide · AI-assisted preparation · Not a hands-on product test. How we work
Give the draft a real reason to exist
Start with an approved account brief, a specific buyer role, and an offer your team can deliver. AI should help explain the connection between those inputs. It should not invent praise, suggest a previous conversation that never happened, or claim the prospect has a problem you have not confirmed.
A fictional first message could reference a publicly announced location opening and ask who manages a relevant operational issue. It should not say you know the opening has caused delays. Use a short question when the account evidence supports curiosity rather than a firm diagnosis.

Keep the writing brief narrow
Supply the verified trigger, approved offer, evidence you may cite, sender identity, and one next step. Ask for a short draft in plain language. Remove unsupported results, fabricated case studies, fake urgency, and claims about reading a prospect’s private activity.
Salesforce documents that its sales-email drafts can use CRM context. That does not validate the source record or approve a message for sending. Whether you draft in your CRM or another approved tool, compare the email with the evidence before it leaves the rep’s inbox.
Use your existing contact rules
Eligibility, suppression, frequency limits, and stopping rules belong in your contact process. A well-written draft does not establish permission to contact someone. Do not use this workflow to bypass your company’s outreach requirements or add scraped personal details to a campaign.
Pilot a small set of reviewed drafts. Measure relevant replies, qualified conversations, factual corrections, and complaints. A high open rate is not proof that the message was useful. Review the negative and ambiguous responses with the same care as positive ones.
Review before sending
- The account fact is current and linked to its source.
- The message identifies the sender and gives an honest reason for contacting the account.
- Any customer proof or performance figure is approved and verifiable.
- One clear next step fits the buyer’s role.
- Your normal suppression and contact-preference rules apply.
