Outreach & follow-up
Review dormant sales opportunities before restarting outreach
Separate neglected follow-up from bad fit, explicit declines, and opportunities that need a new conversation.
An old opportunity is a research task before it is a reactivation campaign.
Editorial workflow guide · AI-assisted preparation · Not a hands-on product test. How we work
Define dormant for your sales cycle
Choose a review window that fits the offer. A large equipment purchase may sit for months with a legitimate future review date, while a smaller service proposal may be overdue after a much shorter interval. Use agreed next steps and actual activity rather than an arbitrary age alone.
Create groups for explicit no, future timing, missing owner, unresolved question, and unknown status. AI can help sort documented notes, but uncertainty belongs in its own group. Do not turn every old CRM record into an eligible outreach target.

Look for a useful reason to reconnect
Read the last meaningful exchange, the original problem, and the reason the deal paused. Check whether your offer, coverage, or implementation capacity has changed. If nothing relevant changed, the best next action may be an internal record correction rather than another message.
For a fictional deferred project, a rep might ask whether the previously discussed planning window is still relevant. Avoid inventing a new budget cycle or claiming a limited availability window. Refer only to a real conversation and information you can support.
Return the decision to an owner
Assign one rep to decide whether to close the record, research it, schedule a future review, or draft a permitted message. Use the normal suppression and contact-preference process. A past opportunity does not override an opt-out or a request to stop.
Measure how many records gained a clear status and next action, not simply how many messages were sent. Track useful replies, reopened qualified opportunities, incorrect context, and review time. Keep reactivated pipeline separate from booked revenue.
Reactivation review checklist
- Reason the opportunity paused, with a source note.
- Any explicit decline, suppression, or future contact instruction.
- A verified change or relevant question worth discussing.
- One owner and one permitted next step.
- Closed records updated instead of left in an endless reminder loop.
A prompt to adapt
Review these anonymized dormant opportunities. Classify each as explicit decline, future timing, unresolved question, missing owner, or unknown. Cite the source note. Recommend an internal next action and draft a message only for owner review where contact remains eligible.
