Draft evidence-based sales stage exit criteria with AI
Turn your approved sales process into observable stage requirements and exception cases before changing CRM pipeline settings.
A required field can contain a guess; stage criteria should describe evidence a reviewer can actually inspect.
Editorial workflow guide · AI-assisted preparation · Not a hands-on product test. How we work
Start with the decision each stage represents
Choose one pipeline and ask its process owner what a stage transition is intended to establish. Define observable buyer progress rather than seller activity alone. Sending a deck and confirming an evaluation plan are different events. AI can organize the existing policy into a draft decision table without changing any records or probabilities.
For each stage list the entry condition, evidence needed to leave, evidence owner, acceptable source, exception route and review date. Keep this process design separate from qualifying one particular deal. The criteria describe a repeatable rule; opportunity reviews apply that approved rule to specific evidence.

Test criteria against awkward examples
Supply fictional cases that expose ambiguity: a verbal next step with no date, a buyer asking for price before discovery, an approved small renewal and an opportunity paused by procurement. Ask AI which requirement is satisfied, missing or inapplicable. A useful rule should distinguish these cases without forcing reps to invent values.
For a fictional proposal stage, the team might require a recorded buyer question and an approved scope owner. That does not mean every prospect must receive a long discovery call. Specify how a legitimate alternative is reviewed. Keep exceptions visible with their reason and approver, rather than using placeholder text to bypass a field requirement.
Have the administrator check enforcement limits
Translate the approved policy into an implementation question for the CRM administrator. HubSpot documents pipeline rules and separately points to conditional stage logic for required properties. Do not assume that a rule covers every integration, role and automation path or is available on every plan. Review current product documentation and the actual account before configuration.
Pilot proposed criteria offline against a sample of recent deals. Record unclear definitions, unnecessary blockers and evidence that was unavailable at that point in the buying process. Adjust the policy before an authorized settings change. Preserve the old definition and effective date so later reporting can explain why stage membership changed. A cleaner pipeline display is not itself proof of better qualification.
Review checklist
- Define the business decision behind each transition.
- Specify inspectable evidence and its owner.
- Test exceptions without forcing invented values.
- Check actual enforcement paths with the administrator.
- Version the policy before changing settings.

A prompt to adapt
Convert this approved pipeline policy into a draft stage table: decision, evidence, owner, source, exception route and ambiguous cases. Evaluate only the supplied fictional scenarios. Do not move opportunities, change probabilities or configure CRM rules.
