Prepare a sales AI tool exit inventory before replacing it
Inventory records, activity history, prompts and workflow dependencies before relying on an export as a migration plan.
A file of current CRM fields is not automatically a complete copy of the sales workflow.
Editorial workflow guide · AI-assisted preparation · Not a hands-on product test. How we work
Define what the replacement must preserve
Start with the actual workflow rather than a list of vendor features. Inventory the records, approved prompts, source documents, record associations, activity history, permissions and pending work that the team depends on. Name the owner and intended destination for each item. Keep public marketing descriptions separate from demonstrated export behavior.
Ask AI to prepare an exit matrix with object, identifier, export method, usable format, dependencies, retention requirement and unresolved gap. Do not include credentials or private subscriber lists in a general comparison prompt. An authorized data owner should approve what can be moved and where it may be stored.

Work a portable-looking but incomplete export
A fictional team exports 200 opportunities with names, amounts and next-step fields. The file does not contain the meeting notes explaining buyer constraints or the approved prompt used to draft proposals. Importing the rows into a replacement would recreate a pipeline table but lose much of the working context.
Mark current properties as available, activity history as a separate export question and prompt ownership as a separate artifact. Choose one fictional opportunity and trace it end to end: can the replacement connect the account, buyer question, source evidence, pending task and reviewer? Counts alone cannot show that the handoff preserved meaning.
Verify export scope instead of assuming portability
HubSpot’s record-export documentation describes exporting current property values and associations, with activity exports handled through separate routes. That distinction illustrates why export scope must be checked for every system. It does not establish that another sales AI tool provides the same data or that an import reconstructs permissions and history.
Ask the provider to demonstrate the specific format, stable identifiers, association representation and limits in an approved environment. Record what is unavailable or requires a separate process. A downloadable CSV is useful evidence of one capability; it is not proof that templates, automation definitions, consent history or access controls transfer with it.
Set acceptance and rollback conditions
Return an artifact inventory, sample reconciliation, field mapping, unresolved gaps and a cutover checklist with accountable owners. Distinguish a migration rehearsal from cancellation of the old service. Pending customer commitments should have a manual coverage plan before any access is removed.
Rehearse with a missing activity, a broken association, a retired prompt and an open task. The replacement should preserve enough reviewed context for the assigned rep to act, or make the missing context explicit. This is a proposed portability assessment, not a completed migration or a recommendation to cancel a subscription. Keep contracts, permissions and destructive cleanup under their normal approval processes.
A prompt to adapt
Build an exit inventory for this approved sales workflow: records, IDs, associations, activities, source documents, prompts, permissions and pending work. State demonstrated export scope, formats, gaps and sample reconciliation. Do not export private data, move files, revoke access or cancel services; prepare a review plan.
