Prepare a minimal CRM data extract for a sales AI task
Choose required fields, remove unnecessary identifying detail and check the exported file before it reaches an approved AI tool.
Access to a CRM does not mean every field belongs in every AI prompt.
Editorial workflow guide · AI-assisted preparation · Not a hands-on product test. How we work
Define the output and work backward to inputs
Choose one task, such as finding proposals with no next action. Write down the decision the output supports, the responsible reviewer and the tool approved to process the data. Build a field allowlist from that need. A queue may require deal ID, owner, status and due date while needing no buyer phone number, home address or full conversation history.
Ask AI to suggest a field map using a schema description or fictional sample first. Do not upload the entire live export to ask which columns should be removed. Approval for a sales workflow and approval for a particular external processor are separate questions. Use the organization’s existing access and data-handling process rather than inventing a new policy in the prompt.

Use a concrete reduced example
For a fictional overdue-proposal queue, replace customer names with stable task IDs and use a controlled owner label. Keep amount only if the approved prioritization actually needs it. If the task merely identifies missing next steps, even commercial value may be unnecessary. Retain the private mapping within the authorized team if the reviewer needs to reconnect the result to CRM records.
A reduced row might contain D104, owner Team A, proposal sent October 20, next action blank. That is enough to flag a missing next action. It is not enough to draft a customer-specific message, and the workflow should say so. Removing direct identifiers also does not guarantee anonymity when other fields could identify the account.
Inspect the file that will actually be used
HubSpot documents export options for properties and associations in the view, all properties and broader associations. It also distinguishes ordinary record exports from activity-export routes. The selected view and exported content can differ if an option changes. Verify headers, row count, associated-record columns and a small sample of values after export.
Look for unexpected secondary email addresses, free-text notes, hidden spreadsheet columns and attachment links. A filename saying anonymized is not evidence that the content is minimized. Remove unneeded fields using the approved local workflow before transmission. Do not ask an agent to bypass CRM export permissions or copy records from a screen to evade a restriction.
Preserve useful traceability without copying everything
Record the task purpose, approved field list, source snapshot date, transformation steps, reviewer and permitted destination. Store and retire working files according to existing retention rules; this guide does not set a universal retention period. Keep the result tied to stable IDs and require human review before changing any CRM record.
Pilot with a fictional file containing deliberately unexpected columns and verify that the check catches them. Then use a small authorized real sample if approved. Measure whether the reduced fields still support the task and whether extra data entered the workflow. This is a proposed preparation process, not a tested security product or a guarantee that a dataset cannot be reidentified.
A prompt to adapt
Using this schema and fictional sample only, propose the minimum field allowlist for the stated sales task. Explain each field, optional fields, identifiers to replace and unsupported outputs after reduction. Produce a pre-transmission check for headers, associations and free text. Do not request full customer exports, bypass permissions or claim anonymization guarantees.
