Explain where a sales lead came from without rewriting its history with AI

Separate record creation, first known web interaction and latest interaction before attributing a lead to a campaign.

THE PRACTICAL TAKEAWAY

A record source, a traffic source and a buyer’s explanation answer different questions.

Editorial workflow guide · AI-assisted preparation · Not a hands-on product test. How we work

Define the question the report must answer

Before asking AI to summarize lead sources, decide whether the team wants to know how a record entered the CRM, what first brought a visitor to the website, or which interaction happened most recently. These events may have different dates and owners. A single field named source cannot safely stand in for all three.

Prepare an authorized extract with stable record IDs, the relevant source fields, their dates and any approved attribution notes. Exclude message bodies and unrelated personal information. Ask AI to preserve the field names and explain apparent disagreements rather than selecting whichever value makes a campaign look successful.

Work a three-event example

In a fictional account, a contact first reaches the website through organic search, later visits through a campaign email and is created in the CRM by an import. The review should preserve organic search as the recorded original interaction, email as the recorded latest interaction and import as the creation method, if those are the actual stored values.

The import does not prove an offline introduction. The latest email does not prove it created the relationship. A separate buyer statement such as a colleague recommended you belongs in a dated note, with its own provenance. Keep missing values unknown; do not backfill a first touch from a later event simply because the report needs a complete chart.

Check the CRM’s definitions and history

HubSpot distinguishes Original and Latest Traffic Source from Record Source. Its documentation also notes that changing a traffic-source value clears the related drill-down properties. Review property history and capture the existing detail before proposing any correction. A cleaner-looking category can discard useful evidence.

Tracking restrictions, missing cookies and older records can leave gaps. AI should label those gaps, not reconstruct unseen browsing activity. Check whether company and deal values reflect associated contacts rather than an independent observation. Keep a report’s attribution model separate from the underlying event record; a model’s credit assignment is not proof of why someone bought.

Return an explanation and a bounded correction queue

Use rows for record ID, question being answered, source field, recorded value, event date, evidence and uncertainty. Add a proposed correction only when a verified source contradicts the stored value. Route those rows to the data owner before changing records or reporting definitions.

Test the method with a fictional import, a manually entered contact, a known campaign interaction and an unknown first touch. Check that the explanation does not turn every import into a campaign win. This is an editorial analysis workflow, not a tested attribution integration. Measure unresolved records and review effort before expanding it to the full database.

A prompt to adapt

Explain these authorized source records using their exact field definitions. Separate creation method, first known interaction, latest interaction and buyer-reported discovery. Preserve dates and unknowns. Flag contradictions and proposed corrections with evidence; do not overwrite fields, infer intent or assign campaign credit.

Use fictional or anonymized examples while testing. Add your approved business rules before using a draft.
