Prospecting

Use AI to choose the minimum useful fields for an inbound sales form

Tie each question to an actual routing or preparation decision instead of building a long qualification questionnaire.

THE PRACTICAL TAKEAWAY

A field earns its place when its answer changes the next useful action.

Editorial workflow guide · AI-assisted preparation · Not a hands-on product test. How we work

Start with what happens after submission

List the decisions your team actually makes when a prospect asks for help: identify the business, understand the request, check service coverage and route the response. For every proposed field, name the decision it supports and the person who uses it. Remove questions nobody can connect to an action.

Give AI that decision list and a fictional form submission. Ask it to propose a short field plan with required, optional and later-conversation categories. Do not ask for the maximum possible enrichment. A visitor requesting a product explanation should not need to disclose a complete purchasing plan just to reach a person.

Work a service-area example

For a fictional commercial supplier, the form needs a business email or another approved response channel, company, brief request and service location. The location matters because delivery coverage varies. A mandatory annual revenue question may add no value if the team routes by location and product need.

If the request concerns installation, the team might ask for a site location; if it concerns software, that question may not apply. Keep an option for not sure so a legitimate buyer can still submit. Unknown budget should not be translated by AI into unqualified, and a large company should not be assumed ready to purchase.

Check field storage and available logic

HubSpot’s updated form documentation describes connecting fields to CRM properties and using conditional logic to show or hide form elements. That logic requires eligible Marketing Hub or Content Hub subscriptions; do not assume every account can implement the proposed branching. Confirm the actual editor and entitlements before designing around them.

Check which object receives each answer and whether submission creates or updates an existing record. Keep the inquiry separate from optional marketing enrollment. Do not hide privacy choices behind qualification branches or use an AI guess to fill an answer the visitor never gave. A simpler static form can be preferable when branching adds unsupported configuration.

Rehearse the complete handoff

Return a field dictionary containing label, purpose, storage property, required status, validation, conditional behavior and response owner. Test fictional cases for an existing customer, an unfamiliar industry, an unsupported location, an unknown budget and a visitor typing a short request on mobile. Check that error messages explain what needs correction.

Evaluate both completion and usefulness: can the assigned person act without repeatedly asking for information already collected? Fewer fields alone is not proof of a better result. This is a proposed form-design workflow, not a tested conversion improvement. Review real aggregated outcomes after an authorized rollout and keep sensitive free-text requests out of unrelated AI tools.

A prompt to adapt

From this approved response process, propose a minimal sales-inquiry field plan. Tie every field to a decision and CRM property. Separate required, optional and later questions; allow uncertainty. State subscription-dependent branches and fictional mobile test cases. Do not publish a form, infer buyer answers or enroll contacts.

Use fictional or anonymized examples while testing. Add your approved business rules before using a draft.
