Test AI-written CRM filters before trusting a sales work queue

Translate a queue request into explicit AND/OR groups and test which fictional records should appear.

THE PRACTICAL TAKEAWAY

A filter that looks sensible can still exclude the deal that needs attention.

Editorial workflow guide · AI-assisted preparation · Not a hands-on product test. How we work

Write the business rule before the filter

Ask the rep what action the queue supports and which records should never appear. Document the object, owner scope, open or closed status, relevant dates and how blank fields should behave. A request for overdue deals is incomplete: overdue could mean a missed buyer commitment, an old close date or no next action at all.

Give AI the approved property names and their meanings, not an unrestricted CRM export. Ask it to express the rule in plain language and then as grouped conditions. Keep unknown field semantics visible. A last activity date may capture events that do not satisfy your team’s definition of meaningful sales progress.

Work the AND/OR boundary

For a fictional queue, include only open deals owned by Team A that either have an overdue next-action date or have no next-action date. Express that as open AND Team A AND (overdue OR blank). If your CRM uses separate OR groups, repeat the open and owner conditions in each group. Otherwise, the blank branch may admit closed deals or another team’s records.

Prepare four test rows: open/Team A/overdue should appear; closed/Team A/blank should not; open/Team B/overdue should not; open/Team A/blank should appear. Add a future action date that should stay out. AI can propose these cases, but the process owner should approve their expected results.

Check the saved view rather than the draft logic

HubSpot documents AND conditions within a filter group and OR across groups. It also distinguishes temporary filtering from saving a reusable view. Confirm the actual saved configuration, reload it and compare its results with the expected cases. A correct explanation in chat does not prove the UI stores the same rule.

Check the property type, time zone and missing-value behavior in your account. A text value saying none may differ from an empty property. A date-only field may behave differently from a timestamp at midnight. Keep a small reviewed sample and record why each included or excluded record belongs there. Do not broaden sharing just to make testing convenient.

Give the queue an owner and a purpose

The finished packet should contain the approved plain-language rule, configured groups, expected cases, known limitations and the person who reviews exceptions. Link it from the saved-view description or team instructions where appropriate. When a property definition changes, rerun those cases before relying on the queue for customer commitments.

This is a proposed preparation and verification method, not a tested HubSpot integration. It does not enroll contacts, create tasks or decide priority automatically. Start with one useful queue and measure wrong inclusions and missing records before expanding. More filters are not better if the rep cannot explain which work the queue is meant to reveal.

A prompt to adapt

Convert this approved queue rule and property dictionary into grouped filters. Explain AND/OR and blanks explicitly. Create fictional positive, negative and boundary cases with expected inclusion. Flag undefined dates or properties. Do not change views, permissions or records; return a configuration checklist for review.

Use fictional or anonymized examples while testing. Add your approved business rules before using a draft.
