Review calculated CRM fields with AI before changing a sales formula

Map source properties, units, blank values and downstream reports before replacing a calculated sales metric.

THE PRACTICAL TAKEAWAY

A formula can be syntactically valid and still turn missing evidence into a misleading number.

Editorial workflow guide · AI-assisted preparation · Not a hands-on product test. How we work

Write the business meaning and the dependency map

Choose one calculated property and record its purpose, input property names, units, currency, output type and current formula. List the reports, filters and workflows that consume it. Ask AI to explain the calculation in plain language and map those dependencies before suggesting a replacement.

Do not let a shared display label hide different internal fields or object types. A duration measured in hours cannot be substituted for days simply because both are numbers. Decide who owns the definition and which real business decision depends on the result. A formula cleanup should not silently redefine a management metric.

Work the difference between zero and unknown

In a fictional sales metric, contribution amount equals approved value minus estimated delivery cost. A record has approved value of $5,000 but no delivery estimate. Treating the missing cost as zero produces $5,000, which looks like an established contribution even though the estimate is absent.

The reviewer should define whether that case remains unknown, returns a separate incomplete status or uses an explicitly approved default. A genuine zero-cost value is a different input and needs its own test. AI should not choose a default merely to make every row calculate. Keep any hypothetical figures separate from accounting or margin claims about actual customers.

Check formula behavior in the actual editor

HubSpot documents custom calculation properties, a formula test function and explicit handling for missing values. Its documentation describes conditional functions that can substitute zero for an empty number; using that option is a business-rule choice, not an automatic recommendation. Available property types and subscriptions also impose limits.

Review the output type and currency basis in the actual configuration. Test both syntax and meaning using approved fictional cases. A formula editor accepting an expression does not demonstrate that every upstream field is complete, or that downstream filters interpret unknown and zero the same way. Preserve the existing formula and reference sample before an authorized administrator applies a change.

Return a change proposal with expected results

Use rows for case ID, input values, expected output, reason and dependent report effect. Include ordinary values, a true zero, a blank, an unexpected negative and a currency or unit mismatch. State which cases should stop calculation or require review. Compare old and proposed outputs without overwriting the baseline.

The proposal should identify the owner, affected consumers and rollback condition. Record actual test observations only after they occur. This is an editorial formula-review method, not a tested migration or proof of metric accuracy. AI helps reveal assumptions; the authorized owner decides the meaning and the administrator controls the implementation.

A prompt to adapt

Explain this sales CRM formula and map its input/output dependencies. Check units, currency, output type, zeros, blanks and edge cases. Prepare expected results and report impacts under the approved definition. Flag unspecified defaults. Do not edit properties, replace missing evidence with zero or change workflows.

Use fictional or anonymized examples while testing. Add your approved business rules before using a draft.
