Prepare an accessible B2B sales demonstration with AI

Draft narration, readable supporting material and alternative interactions before a buyer demo.

THE PRACTICAL TAKEAWAY

A buyer should be able to evaluate the offer without depending on tiny shared-screen text.

Editorial workflow guide · AI-assisted preparation · Not a hands-on product test. How we work

Ask about participation needs without guessing

Start with the demo agenda, evaluation questions, presentation materials and the meeting format. Ask attendees how they prefer to access materials and participate through your normal planning process. Do not have AI infer a disability, language ability or accommodation from someone’s age, voice or job title. Share only the participation information the organizer needs.

Use AI to review the agenda for moments that depend on seeing, hearing, fast typing or operating an unfamiliar interface. The output is a preparation checklist and draft alternatives, not a declaration that the product or session is accessible. Keep an owner for checking the actual materials and meeting platform.

Turn visual shorthand into useful narration

For a fictional pipeline demo, replace click the green one over here with open the opportunity named Sample Account, then choose the Next action field. Explain the decision being shown and the result before moving to another screen. Do not rely on color alone to identify a change or describe a chart.

Ask AI for concise narration tied to the approved demo sequence. Check every generated control name against the actual interface; the model may invent a button. Provide a readable, structured summary of the demonstrated workflow where appropriate. A screenshot inside a PDF is not necessarily a useful alternative to the text and controls it depicts.

Prepare materials and interaction alternatives

W3C WAI’s accessible-events checklist recommends providing accessible material ahead of time, describing relevant visual information and considering captions and different participation methods. Screen sharing alone often does not give participants direct access to the material. Use the original checklist to plan the session rather than treating this guide as a complete conformance audit.

Test readable text, links, headings and the specific interactions your demo requires. If a timed poll or drag-and-drop exercise is optional, offer a way to answer verbally or through another agreed channel. Confirm captioning and any requested support before the call. Avoid promising that automatic captions will accurately capture every technical term without review.

Rehearse the buyer’s evaluation path

Have another person follow the demonstration from the provided materials and narration. Ask whether they can identify the task, evidence and limitation at each step. Keep a fallback for a screen-sharing failure and a route for questions that require more time. Do not pressure a participant to disclose private circumstances to justify using the alternative.

This is an editorial preparation workflow, not hands-on testing of an accessibility product or a legal compliance opinion. Pilot one demonstration and record practical barriers to fix. Share the actual limitations of your product honestly when a buyer asks about its accessibility; a well-run presentation does not prove that the software itself meets an accessibility standard.

A prompt to adapt

Review this approved demo agenda for dependencies on vision, audio, color, speed or a specific interaction. Draft accurate narration and alternative participation methods using only real control names. Identify accessible materials to provide and checks requiring human verification. Do not infer attendee disabilities or claim product conformance.

Use fictional or anonymized examples while testing. Add your approved business rules before using a draft.
