Sales management
Use AI to prepare an RFP bid-or-decline decision before writing answers
Compare mandatory requirements, delivery fit and available response effort before committing the proposal team.
A faster first draft does not make an unsuitable opportunity worth pursuing.
Editorial workflow guide · AI-assisted preparation · Not a hands-on product test. How we work
Build the decision packet before the answer library
Gather the actual invitation, current attachments, submission instructions, evaluation criteria and your approved offer boundaries. Record the document versions and the account owner. Ask AI to extract mandatory requirements separately from preferences and unanswered questions. Require a page or section reference for each extracted item.
The output is an internal decision packet: required capability, evidence of fit, known gap, clarification needed, responsible reviewer and response effort. Do not start with a generated win probability. The absence of a known competitor or an existing buyer relationship does not establish a high chance of winning. A response decision needs documented fit and resources, not a confident score.

We help put AI to work.
Distinguish a blocker from a question
For a fictional invitation, the buyer requires service in three countries, but your approved delivery scope covers two. The team also cannot confirm whether a requested system connection is supported. These are different issues: a documented coverage mismatch and a technical unknown. Neither should become compliant because AI found similar wording in a past proposal.
Ask the commercial owner whether an approved partner arrangement exists, and ask the technical owner what evidence would resolve the integration question. Where the instructions permit clarification, prepare the exact question for the authorized submission route. Do not imply that a seller can waive the buyer’s requirement or privately negotiate around a formal process.
Estimate the response load explicitly
Break preparation into extraction, technical answers, commercial scope, security or contractual review, editing and final submission checks. Use your own measured effort or clearly labeled estimates. Check whether the named reviewers can actually complete their work before the deadline. AI drafting time is only one part of the response load.
A fictional packet might require twelve hours of drafting and eight hours of specialist review. If the only available specialist has two hours, a polished draft does not solve the missing six. Record alternatives such as a permitted clarification, a smaller approved scope or declining. Keep the decision with the accountable bid owner and retain the reason.
Return a clear go, hold or decline recommendation for review
Use go when the owner has sufficient evidence and resources, hold when a specific unresolved question blocks the decision, and decline when an approved decision says the opportunity is unsuitable. These are proposed internal labels, not automated procurement conclusions. Include the next decision date so hold does not become an unattended backlog.
Salesforce’s RFP guide provides general context for responding to buyer requirements. The decision packet and resource method here are our editorial proposal; no win-rate model or product automation was tested. If the opportunity proceeds, use a separate answer-evidence matrix. Revisit the decision when an amendment materially changes scope or the available response window.
A prompt to adapt
Extract the supplied RFP requirements with document/section references. Prepare an internal bid decision packet: mandatory fit, evidence, gaps, questions, reviewer, estimated drafting/review effort and deadline. Separate known blockers from unknowns. Suggest go/hold/decline for the owner to review; do not invent compliance, win odds, partners or exceptions.
Use fictional or anonymized examples while testing. Add your approved business rules before using a draft.Source documents
