Meetings & discovery
Turn sales meeting notes into a reviewed CRM update
Extract decisions, questions, and actions without turning tentative conversation into a customer commitment.
Review what was said before updating the record of what was agreed.
Editorial workflow guide · AI-assisted preparation · Not a hands-on product test. How we work
Capture the right source material
Use meeting notes or transcripts available through your approved recording and information-handling process. Keep the source attached to the correct account and opportunity. A transcript with a wrong speaker label can make a tentative suggestion look like a promise from the buyer.
Define fields for customer goals, confirmed decisions, unresolved questions, commitments, and next actions. Each action needs an owner and a due date if one was actually agreed. Where timing was not specified, leave it open for the rep to resolve.

Your team knows sales.
We help put AI to work.
Separate extraction from interpretation
Ask AI to cite a supporting passage or timestamp for important decisions. Label a rep’s proposed next step separately from a customer-confirmed commitment. A phrase such as we could look at next month should not silently become a scheduled implementation date.
Microsoft’s Teams sales recap documentation describes suggested actions and CRM follow-up options. These are vendor capabilities to investigate in your own environment, not evidence that a summary is accurate. Review the underlying discussion before accepting any suggested task or CRM update.
Approve changes in small batches
Begin with draft updates to a small set of opportunities. Check contact names, product references, commercial commitments, and next-step ownership. Do not allow a summary alone to change close probability, deal value, or contract status without an approved business rule.
Measure time spent preparing and reviewing notes, corrections per meeting, and how often the resulting task was useful. Keep the original source accessible. If a correction changes the meaning of a commitment, update the CRM and the draft customer recap together.
Before saving the update
- The account, opportunity, meeting date, and participants match.
- Customer statements and seller suggestions are distinguished.
- Actions have confirmed owners; missing dates remain unresolved.
- Commercial terms match the approved record.
- The rep reviewed the source before saving or sending a recap.
A prompt to adapt
Extract a draft CRM update from these anonymized meeting notes. Return confirmed facts, customer decisions, seller suggestions, unresolved questions, and actions with owner and agreed due date. Cite source passages. Do not infer commitments, deal stage, or probability.
