Proposals & enablement

Help a B2B champion prepare an evidence-based business case with AI

Organize the buyer’s problem, assumptions and decision questions without turning a seller’s estimate into a promised return.

THE PRACTICAL TAKEAWAY

Make the buyer’s evidence and ownership visible; keep unvalidated benefits as assumptions.

Editorial workflow guide · AI-assisted preparation · Not a hands-on product test. How we work

Ask what the champion needs to explain internally

Identify the internal decision the buyer is preparing for and the audience who will review it. A champion may need to explain the current problem, why change matters, what implementation involves and which questions remain unresolved. Do not assume they need a polished financial claim or a lengthy vendor presentation.

Use only buyer-approved problem statements and attributed inputs. Separate observed current workload, buyer estimates, seller suggestions and unknowns. Record who supplied each input and when it was last checked. Keep private budgets and employee information within the buyer’s approved sharing boundary; a seller should not circulate sensitive internal notes merely because they help the argument.

Build an assumption register before narrative

Ask the assistant to arrange evidence into current state, desired change, options considered, expected effort, assumptions and decision questions. For every proposed benefit, identify the supplied basis and the person who can validate it. Avoid automatically converting time savings into reduced headcount or revenue. A faster task may free capacity without producing a cash saving.

In a fictional example, a manager estimates time spent preparing reports but has not measured it. The draft can label that estimate and suggest a baseline check. It should not multiply it into guaranteed annual ROI or imply a signed implementation plan. When arithmetic is useful, keep the formula, units and assumptions visible for independent review.

Let the buyer own the final case

Offer an editable outline that the champion can correct, reject or adapt. Keep the seller’s claims visibly attributed and use the existing product claims library for factual statements. The buyer decides which internal figures and priorities belong in its business case; the seller’s account plan is a separate document.

Try the structure with a fictional opportunity before using it in an active deal. Ask a reviewer to identify every unvalidated number and every sentence that sounds like a commitment. Track corrections to evidence and assumptions rather than judging quality by persuasive tone. The workflow can improve preparation, but it does not prove financial benefit or authorize a purchase decision.

A review checklist

  • Name the internal decision and its audience.
  • Attribute buyer facts, estimates and seller suggestions separately.
  • Keep assumptions, formulas and units visible.
  • Avoid turning capacity estimates into guaranteed savings.
  • Have the champion approve the buyer-owned version.

Source context and limits

NIST addresses generated factual errors and the limits of narrow evaluations. The assumption register is our editorial method for sales preparation, not a financial model, a customer case study or a guarantee that a proposed purchase will deliver benefits.

A prompt to adapt

Outline a fictional buyer-owned business case using only these approved notes. Separate facts, estimates, seller claims, assumptions, implementation questions and buyer decisions. Flag unsupported numbers. Do not promise ROI, infer budget authority or write a purchase recommendation.

Use fictional or anonymized examples while testing. Add your approved business rules before using a draft.
